Deputy Clerk

As an appointed employee of the township, the Deputy Clerk provides a wide range of administrative and clerical tasks related to all aspects of election administration and department operation. The Deputy Clerk is authorized to act as Clerk in the event of the Clerk’s absence and is expected to support the goals and objectives of the Township Clerk.  As such, the Deputy plays a key role in election administration, record retention, accounts payable administration, and other duties of the Clerk’s office.

The successful individual will be detail oriented and possess a desire to serve the public. The individual is exposed to confidential matters and sensitive issues, requiring discretion on part of the deputy.  The deputy should be willing to attend meetings, conferences, seminars or training as required.

Under the direction of the Clerk, the deputy will assist with the day-to-day clerk operations.  Those duties include, but are not limited to, the following:

  • Regularly communicates with the Clerk to discuss the status of current activities, reports, and upcoming projects.
  • Maintains voter records in the Qualified Voter File, including registering new voters, updating addresses and names, mailing notices, maintaining Master Cards, and other duties as required.
  • Aids the Clerk in all election activities including testing and maintaining election equipment, administering and recording absentee ballot applications and ballots, participating in election training and training inspectors.
  • Assists in processing FOIA requests according to statutory requirements.
  • Assists in maintaining custody of all township records according to statutory requirements and Township policies.
  • Records and maintains meeting minutes, as required.
  • Prepares notices for public meetings in accordance with the Open Meetings Act.
  • Assists with accounts payable, including processing invoices and checks.
  • Provides backup for general office responsibilities such as answering phone and directing calls as necessary and serving customers in the office.

Township Office hours are 9:00am – 12:00pm Mondays, Wednesdays, and Thursdays.  When administering an election, additional hours are necessary.
